Position Summary

The role of Special Assistant is vital to ensuring that the CEO, and therefore the organization, is operating at optimal levels of capacity and efficiency towards the achievement of day-to-day priorities and overall strategic goals. The Special Assistant will function as an extension of the CEO in executing organizational and philanthropic vision, as well as leading special projects that advance the Foundation’s mission and operations.

On this small but mighty team, all positions hold a broad range of responsibilities within their areas of expertise. This position requires the flexibility to fulfill key administrative tasks and also to meet expectations for leadership of special initiatives, thoughtful decision-making to carry out the CEO’s vision, development and management of partnerships, and external affairs. 

The role of Special Assistant also spans a wide variety of subject matter and activities – both planned and unplanned – for which the Special Assistant is responsible to follow through completion. This position requires an innate motivation to be relied upon for the handling of assignments with minimal oversight while maintaining alignment with the CEO’s vision, Foundation goals, and organizational needs.

The position is based in the headquarters office in Raleigh, NC, and while some remote work is permissible, presence in the office is required Tuesday-Thursday, with some variation dependent upon daily/weekly activities, office needs, and the schedule of the CEO. Occasional travel within Eastern North Carolina is also required.

Responsibilities

The following are intended to reflect the primary responsibilities of the position and the qualifications of the ideal candidate, not an exhaustive list. The scope of work may evolve over time and other duties may be assigned as needed. 

EXECUTIVE SUPPORT

  • Serve as an advisor to the CEO on matters of organizational development, partnership engagement, external affairs, and emerging issues related to Foundation priorities
  • Support the activities of the board of directors
  • Provide full support for meetings, events, and presentations, including coordination, preparation, documentation, and necessary follow-up; accompanying CEO as needed
  • Research and prepare briefs and materials on a variety of topics relevant to Foundation business
  • Ensure responsiveness to deadlines, daily activities, and situations that may arise and require immediate attention
  • Manage the Foundation’s and the CEO’s calendar, including scheduling and travel
  • Anticipate the needs of the CEO

EXTERNAL AFFAIRS and NETWORK ENGAGEMENT

  • Serve as a point of contact for external partners, developing and maintaining relationships, receiving inquiries and responding as needed
  • Represent the Foundation at external meetings and events upon request
  • Coordinate public relations opportunities and engagements for the Foundation
  • Work with colleagues and external vendors to ensure an active and accurate website, social media presence, and stakeholder communications
  • Plan and execute community engagements and events with members of the Foundation network

OPERATIONS

  • Develop and implement organizational systems to maximize efficiency and effectiveness of Foundation business
  • Work with external vendors to manage technology for the team and the Foundation office, ensuring accessibility and successful functioning of equipment, software, and related tools
  • Oversee the headquarters office space, working with relevant vendors, to ensure a high-functioning, welcoming space

SPECIAL PROJECTS and INITIATIVES

  • Conduct research to explore project ideas and to facilitate decision-making regarding new and developing initiatives
  • Serve as consultant to CEO on collaborative opportunities and innovative projects that expand the Foundation’s strategic priorities
  • Identify, enlist, and supervise external vendors and contractors needed for special projects and initiatives
  • Oversee progress on long-term and short-term projects from planning to deliverables, working across disciplines as needed
  • Provide tactical support needed to advance projects and special initiatives

Required Experience & Qualifications

Required experience and qualifications are listed below.

Priority qualifications include: a level of detail orientation that inspires reliability; keen project management experience that brings vision to life; ability to anticipate and respond to the needs of an organization and its executive leader; high-level standards for customer service; a natural planner.

Additional preferred qualifications include: experience supporting an executive; experience working with boards of directors; understanding of the philanthropic sector.

  • Bachelor’s degree and minimum of 5 years of professional experience in similar roles or roles related to identified responsibilities; or without bachelor’s degree, 10+ years of experience in similar roles
  • Demonstrated experience in:
    • executive/leadership-level support;
    • project management;
    • meeting planning/facilitation;
    • external affairs;
    • partnership engagement;
    • customer service;
    • office management;
    • and effective communication strategies
  • Exceedingly trustworthy and holds an exemplary standard for confidentiality
  • Exhibits attention to detail that inspires confidence and achieves excellence
  • Ability to effectively communicate in multiple forms and across various audiences
  • Eager to understand and meet the needs of others, find solutions, and facilitate success
  • High capacity for learning and motivated to embrace new systems and processes for improvement
  • Remains well-balanced, steady, and comfortable under pressure
  • Exercises sound judgment and willingness to take measured risk and informed initiative
  • Displays an energetic readiness, flexibility, and adaptability to change
  • Excellent administrative skills; proficiency with MS Office and Google; adept with new technology

Salary Range

For this position, we offer a competitive salary range of $85,000 – $95,000, commensurate with experience. Our comprehensive benefits package includes: generous paid time off and holidays; health insurance; life insurance; dental insurance; vision insurance; sick leave and short-term disability; long-term disability insurance; 401(K) retirement plan, with employer matching.
