Director of Mindful Operations & Finance
Overview
The Tzedek Social Justice Fund redistributes money, resources, and power to support systems change and community healing in Asheville, North Carolina. Through adaptive, trust-based philanthropy, we resist oppressive systems and work to transform our collective home into a place where everyone flourishes. The Fund’s vision is rooted in Jewish social justice values, including equitable giving (Tzedakah), repairing the world (Tikkun Olam), and leadership (Hanhagah). We have supported and promoted the social justice work of leading progressive organizations since the late 1980s.
The Tzedek Social Justice Fund (Tzedek) seeks a Director of Operations and Finance who is passionate about systems change and community healing, highly organized, excels with numbers, and communicates clearly and effectively. The position is based in Asheville, North Carolina. The Director of Operations and Finance works to create, manage, and enhance systems and processes for efficient and equitable operations. This role centers humanity and maintains a culture of care for staff sustainability through policy development, benefits distribution, and budget tracking.
Responsibilities
Organizational Operations (Approximately 30% of the job)
Manages and enhances organizational systems that allow for efficiency and smooth functioning of operations.
Develops, writes, and ensures compliance with organizational policies and procedures.
Maintains liability insurance policies and files claims as necessary.
Renews QSEHRA, vision, dental, and life insurance benefits plans annually.
Assists in the planning and development of Tzedek events.
Crafts and manages contracts and payments for service providers as needed.
Leads legal and conflicts of interest compliance checks for the organization.
Checks info@tzedeksocialjusticefund.org email inbox and replies to inquiries or triages emails as necessary.
Works with the Executive Director to schedule Board meetings, prepare board packets, reserve language interpretation services, coordinate the translation of meeting minutes, and fulfill other tasks associated with board meetings.
Supports the Executive Director in arranging travel as needed.
Finance and Accounting (30%)
Disburses grant payments to organizations and individuals.
Corresponds with Tzedek Social Justice Fund of Ohio representatives regarding annual grant agreements, quarterly payment requests, and yearly and quarterly reporting.
Engages with an accountant to prepare Tzedek’s annual 990 form and financial audits.
Conducts Tzedek’s bookkeeping and accounting in QuickBooks Online.
Serves as the point person with financial institutions and manages accounts.
Processes payroll for staff and disburses benefits and reimbursements.
Reviews and approves staff expense reports.
Provides strategic financial input and leadership on decision-making issues affecting the organization.
Plans, develops, organizes, implements, directs, and evaluates the organization's fiscal function and performance.
Develops the annual budget with staff.
Updates monthly budget versus actual expenses and shares with staff.
Ensures compliance with all Federal, State, and Local regulations.
Office and Building Management (20%)
Serves as the point person in correspondence with the office landlord, cleaning service, and other office management service providers.
Manages relationships with individuals and organizations who wish to sublet an office and/or utilize the community room and co-working space, including managing the reservation calendar, showing the space, providing keys/access to the building, and other tasks as needed.
Maintains a minimum of eight office hours per week.
Prepares subleases and space agreements.
Ensures the office is well-stocked with supplies and materials.
Human Resources Management (10%)
Onboards new staff, including filling out administrative forms, presenting the organization’s policies and procedures, setting up payroll, and other tasks that orient them and prepare them for their new position.
Maintains compensation records.
Maintains current and up-to-date staff information in all employee management systems, such as federal and state tax withdrawals, SIMPLE IRA deductions, compensation records, and others.
Conducts exit interviews to gain insight into Tzedek’s work culture in alignment with our value of ongoing learning.
Internal Culture (5%)
Supports organizational analysis building regarding issues, policies, and politics that influence social justice grantmaking, LGBTQ movement work, Jewish movement work, Southern social justice work, anti-oppression efforts, racial justice, and intersectional organizing.
Coordinates and delegates the facilitation of weekly staff meetings, along with the check-in questions.
Organizes regular opportunities for internal relationship building among staff.
Additional Responsibilities (5%)
Participates in ongoing social justice training. Transmits learning and professional development opportunities to the entire team through staff meetings.
Tracks expenses by keeping receipts and putting together monthly expense reports.
Reports and communicates important work, decisions, or updates impacting staff at regularly scheduled meetings.
Collaborates on strategic planning and implements Tzedek's vision, mission, goals, and values.
Continues to challenge oneself and grow in understanding issues of equity and privilege, resulting in improved professional and personal impact.
Attends weekly team meetings.
Supports the work of local grantees through attendance at local events, fundraisers, etc., as available.
Maintains organization of online filing systems in Dropbox.
Represent Tzedek in the community and on funder panels in ways that align with our values.
Qualifications
ESSENTIAL SKILLS & EXPERIENCE
Proven work experience in operations, administration, or a similar role
Proven work experience in accounting, financial management, or a similar role
Excellent mathematical and analysis skills
A keen eye for detail
Solid time-management abilities with the ability to prioritize tasks
Ability to think creatively about finding equitable and humane solutions
Ability to work independently and be proactive in building systems and processes
Excellent verbal and written communication skills
Exceptional interpersonal skills and strong emotional intelligence
Technologically savvy with experience using Microsoft Excel, QuickBooks Online, and Google Workspace
Deep knowledge and understanding of the concepts, analysis, and terminology related to structural oppression and movement building
A personal and professional commitment to Tzedek’s vision, mission, focal areas, and values
PREFERRED SKILLS & EXPERIENCE
Expertise gained from directly navigating systems of injustice and systemic oppression in our focal areas of Dismantling Antisemitism, Racial Justice, and LGBTQ Justice.
Experience working with private foundations, nonprofit organizations, and/or grassroots movements.
